Approving and generating invoices.

When a technician is addressing a ticket, they add the time spent and/or products utilised in the ticket resolution for billing purposes to the customer. This recorded information undergoes an approval process that begins at the "Approve and Invoice" screen within the system.

To navigate to this screen, click on "Approve and Invoice" option from the side menu.

The screen has three tabs

  • Waiting to Approve

  • Waiting to Invoice

  • Complete

In each of the three tabs, time entries and products are organised according to their respective tickets, and subsequently, tickets are grouped based on the client they are associated with.

Waiting to Approve

  • All time entries and products added to the ticket are accessible within this tab. By default, it displays all the tickets that have been marked as closed. If you wish to view the time entries and products for tickets that have not been marked as closed, you can activate the "Show Unclosed" toggle.

  • Within this tab, you have the opportunity to make adjustments to your recorded time spent and products before finalising the approval process for both closed and unclosed tickets.

  • In this tab, the status of closed tickets is also reversible to "solved" status from the ticket module. This allows users to make modifications such as deleting any recorded time spent or products, as well as adding more to the ticket.

Approving a closed ticket

  • After your necessary adjustments in time spent and products, you can click the "Approve" button associated with a ticket to proceed it for billing.

  • All time spent entries of a closed tickets will be transferred to either Waiting to Invoice tab or Complete tab based on the type of contract.

  • All Products of a closed ticket will be moved to Waiting to Invoice tab.

Approving an unclosed ticket

  • After your necessary adjustments in time spent and products, check mark the time spent entries and products that you wish to invoice and click the "Approve" button.

  • For unclosed tickets, upon approval, the time spent entries and products will stay on the "Waiting to Approve" tab, but they will be visible when the "Show Unclosed" toggle is turned off.

  • Approve it again so it can be proceed to either Waiting to Invoice tab or Complete tab based on linked contract.

Waiting to Invoice

  • Upon the approval of the ticket, all approved time entries and products associated to following contract types are consolidated in this tab,

  • From this tab you may generate invoices for the approved entries by selecting a single ticket, or bulk tickets, or select a specific client to include all the approved tickets associated with that client.

Unapprove tickets

  • In the approved state, the status of tickets cannot be reversed from "closed" to "solved," and modifications to the approved products or time entries are not possible. If adjustments are required, you can choose to unapprove the ticket. This action will return the ticket to the "Waiting to Approve" tab, allowing for necessary adjustments before re-approval.

Generate new invoice

  • Next, to initiate the creation of a new invoice, click on the "Generate Invoice" button. Subsequently, all the approved tickets will be invoiced and automatically removed from this tab.

  • Below popup will appear. Provide the required details and click the "Save" button to proceed with generating the new invoice.

Add in existing invoice

  • If you wish to include a ticket in an existing invoice, click on the downward arrow adjacent to the 'Generate Invoice' button, and select the "Add to Invoice" option.

  • From this popup, select an invoice in which you want to add items and click "Save" button.

Write off

You may also write off a ticket by clicking on the downward arrow adjacent to the 'Generate Invoice' button, and select the "Write off" option.

Complete

  • Time entries associated with the following contract types are directly moved to the "Complete" tab upon approval from "Waiting to Approve" tab.

  • All the time entries and products for which invoices are generated from the "Waiting to Invoice" tab are subsequently transferred to the "Complete" tab.

  • To review the invoice associated with a specific ticket, simply click on the invoice pill located on the ticket card.
