Block Hours contracts are pre-paid hours purchased at the beginning of a period, which may be monthly, quarterly, or yearly. These contracts provide a defined number of service hours that are debited as time is spent on tasks.

Create Block Hours Contract

  1. To add Block Hours contract, go to Add Contract screen.

  2. Fill in the Client and Invoicing sections and select "Block Hours" as the Contract Type.

  3. Define the number of pre-paid hours (n hours) as block balance and quote your price for the contract.

  4. Warning Threshold (0-90%): When the allocated hours reach the specified threshold, our system generates a warning message during the creation of a ticket for the client and also displays it on the ticket’s detail page.

  5. Over Run Threshold (0-50%): It refers to the additional hours permitted as a percentage of the total blocked hours. Once these overrun hours are added, the client's status will be set to “Credit on Hold.” At this point, no additional hours can be allocated to any ticket. To remove the “Credit on Hold” status, additional hours must be purchased under the existing agreement, for which an invoice will be generated.

  6. Choose your preferred coverage Work Type and Billing roles for this contract.

  7. Add the Products and Bundles that you want to charge your customer for each billing cycle.

  8. Click on the "Create" button to complete adding the Block Hours Contract.

Add Block Hour's Contract's Time Spent

  1. To add a time spent in a ticket that falls under this unlimited contract,

  2. Go to a ticket, Click on Time Spent.

  3. Add your hours spent and ensure you select the Work Type and Billing role that falls under the Block Hours Contract, or directly select the contract.

  4. Save the Time Spent

  5. The ledger balance will be updated in the contract to reflect the hours used (e.g., n-1).

  6. Now close the ticket to see it on Approve and Invoice screen.

View the Ticket on Approve and Invoice Screen

  1. On ticket closure, the ticket can be seen on the Approve and Invoice screen.

  2. The ticket will show in the Waiting to Approve tab initially.

  3. Upon approving the ticket, the time spent will move to the Complete tab.

Automated Invoice

  • In accordance with the billing terms and dates specified in your Block Hours Contract, automated invoices are generated on the designated date.

  • These invoices cover charges for the products and bundles included in the contract.

  • Time spent for this contract will decrement the ledger balance but is not subject to additional charges beyond the pre-paid hours until the balance is recharged.
