Mapping Dynamic Quantities in Contracts

Gorelo provides an easy solution for mapping products with dynamic elements. This capability significantly simplifies the process of incorporating dynamic quantities into contracts.

Set up Sources for Dynamic Elements

Before using this feature, your MSP must have at-least one of the following sources set up:

  1. Contact Tags - M365 integration

  2. Asset Tags - Asset policy tags

Set up Products and Bundles

Next, set up Products and Bundles that you want to include in contracts and map with dynamic elements.

Define Rules

Once the sources and products/bundles are set up, you can start using this feature by defining Rules. Follow these steps:

  1. Navigate to the Contract List.

  2. Click on the Dynamic Quantities button.

  3. A popup appears, go to the Rules tab.

  4. Here, you can see a list of all the Dynamic Elements available in your MSP based on the integrated sources you have.

  5. Initially, all dynamic elements will be shown as unmapped.

  6. Next you may map a Dynamic Element with a Product or Ignore it.

Map Dynamic Element with a Product

To map a Dynamic Element with a Product:

  1. Click on the Unmapped dropdown.

  2. Now choose option Suggest.

  3. A popup will appear. Choose a Product/Bundle with which you want to map this dynamic element.

  4. Click Map button.

  5. The Dynamic Element is now mapped with your selected product. This product is now ready to be added in a contract mapped with dynamic element. See here.

Ignore a Dynamic Element

To Ignore a Dynamic Element:

  1. Click on the Unmapped dropdown.

  2. Now choose option Ignore.

  3. The Dynamic Element will be ignored. The ignored elements will no longer be available in the Pending tab for addition to contracts.

Add mapped product in a contract

To add the mapped Product in a Contract:

  1. Go to Pending tab to view all Products mapped with Dynamic Elements, along with the available quantity and corresponding Client.

  2. Click on the Add button to proceed to the Contracts

    1. If only one contract is available, the Contract Detail page will open.

    2. If there are no contracts or multiple contracts, the Contract List page will open, allowing you to select an existing contract or create a new one.

  3. On the Contract Detail page, you will see the product with the specified quantity.

  4. Click on the Add button present to finalize its addition to the contract.

  5. Once completed, click on the Update button.

  6. Once the product is added in the contract, then the dynamic element will be removed from the Pending tab.

Ignored Products

  1. Products that are ignored are placed in the Ignored tab.

  2. A product can be ignored from one of the following locations:

    • Pending tab

    • Contract Detail page

  3. Ignored products can be restored to Pending tab by clicking on the Restore button.
