Using Calendar to Track Time-bound Items and Events

Gorelo allows users to access and use the calendar directly from the main menu now. You can find it listed just below the Alerts option in the expandable main menu bar located at the left side of the application

The calendar can be used to add a ticket, event or holiday and schedule them for any day. These can then be viewed on the calendar, marked on their selected dates. Users can also navigate between different months by using the forward and backward arrows present on either side of the month and year textual display just above the calendar.

The calendar view also offers a handful of filtration options to help narrow down the entries that appear on the calendar. This can help users find their target entries faster and more conveniently.

Users can filter by:

  • Client name
  • Any one of the following assignee criteria:
    • Name of the assignee
    • Unassigned
    • Assigned to you
  • Item type as tickets
  • Item type as events
  • Item type as holidays

You can create 4 different types of items:

  • Ticket
  • Event
  • Holiday
  • Technician Vacation

Adding an Item to the Calendar View

To add any of the 4 item types to the calendar view, click on the “+ Add to Calendar” button on the top right side of the Calendar. This will open a pop-up form on top of the calendar view screen.

The “Item Type” would be set to “Ticket” by default. Regardless of what it is set to by default, you can change it to your desired type by simply clicking on the field and selecting any one of the 4 listed types from the drop-down menu.

The form fields will be different for each of the 4 item types. Selecting a different item type from the drop-down will change the fields automatically.

Once you’ve selected the item type you would like to add, you simply need to fill in all the form fields required for that type and hit the ADD button at the bottom of the form. This will add your item to the calendar view.

Item Type: Ticket

  1. Ticket Title – Search and select the ticket you would like to add to the calendar view.
  2. Start Date – Select the start date of the ticket task.
  3. End Date – Select the end date of the ticket task.
  4. Full Day – Select YES or NO depending on whether the ticket task will last a full workday or not.
  5. If Full Day is set to NO, then:
    1. Start Time – Select the start time of the ticket task.
    2. End Time – Select the end time of the ticket task.
  6. Time Zone – Select the time zone to be followed for the date and time set for this ticket.

Item Type: Event

  1. Event Title – Type a name/title of the event.
  2. Client* – Search and select the client whose event it is.
  3. Contact* – Select the client’s contact responsible for coordinating or communicating about it.
  4. Technician Name – Select the technician assigned to this event.
  5. Start Date – Select the start date of the event.
  6. End Date – Select the end date of the event.
  7. Full Day – Select YES or NO depending on whether the event will last a full workday or not.
  8. If Full Day is set to NO, then:
    1. Start Time – Select the start time of the event.
    2. End Time – Select the end time of the event.
  9. Time Zone –Select the time zone to be followed for the date and time set for this event.
  10. Comment* – Type in any custom details that will help you or any other user when this event record is later accessed or reminded about.

Item Type: Holiday (Public and Company Planned Holidays)

  1. Holiday Title – Type the name of the planned holiday.
  2. Service Provider Location* – Select the client office location where the holiday will be observed.
  3. Start Date – Select the start date of the officially planned holiday(s).
  4. End Date – Select the end date of the officially planned holiday(s).
  5. Comment* – Type in any custom details that will help you or any other user when this holiday record is later accessed or reminded about.

Item Type: Technician Vacation (Personal Holidays)

  1. Technician Vacation Title – Type the name of the technician vacation request.
  2. Technician Name – Select the technician who requested the leave(s).
  3. Start Date – Select the start date of the technician’s holiday.
  4. End Date – Select the end date of the technician’s holiday.
  5. Full Day – Select YES or NO subject to whether the planned leave will last a full workday or not.
  6. If Full Day is set to NO, then:
    1. Start Time – Select the start time of the technician’s leave.
    2. End Time – Select the end time of the technician’s leave.
  7. Time Zone – Select the time zone to be followed for the date and time set for this leave.
  8. Comment* – Type in any custom details that will help you or any other user when this leave record is later accessed or reminded about.
